Who can invite staff and admins
Staff and admins are the people who help run your organization inside Game Axiom: schedules, teams, payments, communications, venues, and settings. They are not the same as the players, guardians, coaches, and roster participants who sign up for your leagues - those people are added through registration, not through staff access.
Workspace owners and admins with access-management permission can invite these people. If you do not see the Access area or cannot send invitations, ask a workspace owner or another admin to update your permissions.
Players, guardians, coaches, volunteers, and roster participants should not be added through staff access unless they also need admin workspace access. Use member registration or member invitation flows for normal league participation.

Open the Access area
From the admin workspace, open Settings and find the Access area.
Choose the invited person
Enter the email address that the teammate should use to sign in. Check spelling before sending because the invite is tied to that address.
Select the right role
Pick the narrowest role that matches the work this person needs to do. You can always change access later as responsibilities change.
Send and monitor the invite
Game Axiom records the invite as pending until it is accepted. Pending invitations can be resent or revoked from the same access area.
Permissions
Choose the least access that gets the job done
Roles control what a teammate can see and change inside the admin workspace. Choose the narrowest role that matches the person's responsibilities, especially for settings, payments, member data, and communications.
Admin
Use for trusted league operators who need broad workspace control, including settings and operational administration.
Staff
Use for operators who run day-to-day work such as teams, games, communications, and related league operations.
Referee
Use for officials or coordinators who need focused game operations access without full organization administration.
Plans include a set number of admin seats. Check your plan before inviting a large staff, and remove access for people who no longer need it to free up seats.
When responsibilities change, update the access assignment instead of sharing another person's login. Shared logins make audit trails unclear and increase the chance that private league data is seen by the wrong person.

What invitees receive and how they accept
The invited teammate receives an email invitation for the address you entered. They should open the link, sign in or create an account with that same email address, and complete the acceptance flow.
After acceptance, Game Axiom activates the role assignment for the workspace. The teammate should use their own account whenever they work in admin so permissions, activity, and future removals stay tied to the right person.
Common issues
Troubleshoot pending or failed invites
The invite expired
Ask an admin with access-management permission to resend the pending invitation or revoke it and send a fresh one.
The teammate used the wrong email
Have them sign out and accept with the invited email address. If the address itself is wrong, revoke the pending invite and send a new one.
They are already a member
If the email already belongs to someone in the workspace, assign the role to their existing account instead of sending another invite.
The invite email never arrived
Ask the invited person to check spam and mail filters, then confirm the address. If it still does not arrive, resend the pending invite or revoke it and send a fresh one.
They cannot see an admin page
Confirm the role is active, confirm the person is using the invited account, and check that the role includes permission for the page they are trying to open.
Ongoing access
Remove or change access when responsibilities change
Review workspace access any time your staff changes, a season ends, or a contractor no longer needs admin tools. From the Access area, revoke pending invitations that were never accepted and remove active role assignments that are no longer needed.
This protects schedules, payments, registration answers, guardian and minor information, eligibility details, and operational communications. Keeping each teammate on their own role also makes it easier to explain who had access to sensitive data and why.
